Terms of Reference

Division           : Supply Chain and Procurement.
Location           : Marib.
Reports to        : Procurement Specialist / Supply Chain and Procurement Manger.

Organization & Background:

A humanitarian, independent, non-profit, non-governmental organization that works across Yemen. The organization provides direct assistance for conflict-affected populations, IDPs, host communities and vulnerable groups in conflict areas. The organization, in partnership with international agencies, takes action during crisis situations in order to alleviate the sufferings of the most vulnerable groups. The organization promotes durable solutions for conflict-affected populations and helps to restore services, education, economics, wellbeing and health.
 
Job Purpose:
Incumbents of positions in this series unpack and examine incoming goods; purchase supplies and equipment; store goods, supplies, and equipment; mark identifying codes, etc. on articles; issue supplies, materials and equipment; maintain records; take inventories; and perform related work as required. The basic purpose of this work is to receive, store, issue, ship, and purchase supplies, materials, and equipment for agency use.

Key Responsibilities:
  • Unpacks and examines incoming goods to verify quality, quantity, and condition of goods for conformance to specifications, including counting, weighing, and/or sorting the incoming articles.
  • Maintain accurate records of all stock and inventory levels related to WASH and Shelter & Protection departments.
  • Ensure all items are stored safely, securely, and in suitable conditions.
  • Monitor stock levels and reorder supplies in a timely manner to avoid shortages.
  • Assist in the preparation of regular inventory reports and maintain inventory control systems.
  • Coordinate with procurement and program teams to forecast materials needed for WASH and Shelter & Protection projects.
  • Conduct regular stock checks and audits to identify discrepancies or damages.
  • Ensure compliance with organizational policies and procedures related to inventory management.
  • Takes physical inventory of supplies and equipment to determine actual amounts on hand, to review and/or reconcile stock records to detect spoilage, damage or variances in quantity.
  • Performs related duties such as loading and unloading items to and from trucks; maintaining the general appearance of the stockroom; weighing, materials and equipment to other locations using hand trucks.
  • Assist in the distribution of materials to relevant departments or field locations.
  • Maintain cleanliness and organization of the storage areas.
Qualifications, Experience, and Skills:
  • High school diploma or equivalent; additional certification in inventory management is a plus.
  • Familiarity with inventory management software and systems.
  • Strong attention to detail and accuracy in record-keeping.
  • Ability to work effectively in a team and communicate clearly.
  • Organizational skills and the ability to prioritize tasks effectively.
  • Good mathematical and analytical skills.
  • Strong problem-solving abilities.
  • Ability to work in a fast-paced environment and meet deadlines.
