Reports to: Data Management Officer/ Project Manager.

Job Purpose:
The Data Entry Clerk plays a crucial role in ensuring the accurate input, analysis, and protection of all project data. Their responsibilities include maintaining up-to-date information on projects, locations, surveys, indicators, and beneficiaries across diverse activities. Working with multiple databases simultaneously, the Data Entry Clerk meticulously manages data entry processes, transforming paper-based information into digital records using various tools. This role involves the continuous upkeep of databases by entering and updating beneficiary data accurately and promptly.

Key Responsibilities:
- Establish databases properly based on required information and organize documents for data entry.
- Enter data into database software accurately, preventing duplication and ensuring information integrity.
- Resolve discrepancies in information and gather additional details for incomplete documents.
- Analyze data using various software tools and report findings to the Project Manager and Data Management Officer.
- Optimize databases for usability and adaptability, ensuring efficient data retrieval.
- Create data backups as part of contingency planning to safeguard information.
- Respond to information requests, providing basic data analysis and regular reports to authorized staff.
- Generate error-free spreadsheets with large datasets and prioritize and organize information for data entry.
- Review and verify data against source documents, making necessary corrections and storing completed work securely.
- Scan and print project and distribution documents when required, maintaining confidentiality at all times.
- Document all data, verifications, and project information meticulously.
- Prepare the finalized distribution lists and necessary beneficiary documents accurately.
- Assist in preparing beneficiaries lists, voucher data, and other required documents for printing.
- Organize paperwork post-data entry to prevent loss and assist with administrative tasks as necessary.
- Provide support to the Project Manager and project staff as needed.
- Perform any additional tasks as assigned to support project operations effectively.
- Read, understand, and adhere to the organization’s Safeguarding Policy, sign the organization’s Code of Conduct, and strive to promote a zero-tolerance approach to discrimination, harassment, and abuse in all working environments.
- Report any concerns about the well-being of a child or vulnerable person and report any concerns about the behaviour of the organization’s representative in relation to safeguarding.
Qualifications, Experience, and Skills:
- BA or Diploma in Information Technology (IT) or any other related field.
- At least 2 years of relevant professional experience in a similar setting and capacity.
- Advanced understanding of Excel databases and data entry and ability to design Excel/Access databases.
- Excellent computer skills, with strong typing skills in English and Arabic and knowledge of MS Word.
- Strong attention to detail and high level of accuracy in data management.
- Ability to analyze and understand data, organizing into visual representations - diagrams/charts.
- Previous experience with assessments, surveys, and evaluations preferred.
- Good conceptual understanding of gender, protection, and human rights
- Ability to write reports and situational briefings in English
- Ability to spend extended periods of time in field conditions.
- Spoken and written Arabic and English is essential.
